SALARY: Starting at PGK 450 / day with some flexibility, depending on experience and expertise.

ABOUT THE ROLE
Adam Smith International (ASI) is currently seeking a talented professional to support the Technical Assistance to the European Commission-Papua New Guinea Partnership for Good Governance project (P4GG-TA). This multifaceted project works across the PNG Department of Justice and Attorney-General (DJAG), the Village Courts and Land Mediation Secretariat (VCLMS), and the Royal Papua New Guinea Constabulary (RPNGC). The project contributes to rolling out governance and integrity mechanisms throughout the police force, improving RPNGC community policing capacities, infrastructure and equipment; as well as enhancing capacities in governance, efficiency and integrity of the judicial system. It also supports PNG's Village Court System and improves gender accountability, monitoring and reporting within the judicial system.
The Project Coordinator plays an important role in the implementation of the P4GG-TA project by supporting day-to-day coordination, communication, technical and logistical functions. Working closely with the Team Leader and Deputy Team Leader, the Coordinator will ensure the smooth delivery of project activities, maintain effective communication with counterparts and partners, and provide both operational and technical support to the team of embedded key and non-key experts to ensure that the project achieves its objectives in line with the P4GG workplan.
ABOUT YOU
Qualifications and Skills
Bachelor’s degree, preferably in public administration, social sciences, project management, development studies, or a related field.
Proficiency in oral and written English and Tok Pisin.
Specific Professional Experience
A minimum of 3 years’ experience in a coordination or administrative role with at least 1 years' experience working within an international development project.
Strong organisational and multitasking skills, with attention to detail.
Proven ability to work effectively with government stakeholders, civil society, and international partners.
Proficiency in Microsoft Office Suite; experience using SharePoint is an asset.
Previous experience with EU-funded projects or other donor-funded projects is an advantage.
Previous experience working with Social Law and Order Secretariat, DJAG, RPNGC or VCLMS an advantage.
Experience in financial report also an advantage.
KEY RESPONSIBILITIES
PROJECT COMMUNICATION AND STAKEHOLDER COORDINATION
Coordinate and schedule regular meetings with the contracting authority, donor and government counterparts.
Ensure communication is consistent, follows the direction of leadership and responds to partner queries within 8 business hours.
Maintain and update the stakeholder engagement tracker in SharePoint.
Prepare and circulate meeting agendas and minutes; follow up on action items with responsible parties.
ACTIVITY COORDINATION AND FIELD SUPPORT
Support the organisation of key events and activities for P4GG-TA.
Liaise with local authorities and logistics providers to coordinate field missions (travel, venues, materials, etc.).
Prepare field trip plans, logistics checklists, and coordinate advance payments and settlements with the finance team.
Coordinate with the Team Leader and Communications Officer on preparation of visibility materials for events (banners, factsheets, folders).
Collect and organize photos and quotes from activities for donor communications or reporting.
SUPPORT TO TECHNICAL ADVISORS AND SENIOR NON-KEY EXPERTS
Assist international and national short-term experts in arranging interviews, training sessions, and focus group discussions.
Collect and compile background documents required for assessments, evaluations, or technical reports.
Provide coordination support for capacity-building initiatives, including training agendas, participant registration, and evaluation forms.
OPERATIONS, PROCUREMENT AND LOGISTICS
Maintain the procurement and logistics tracker: monitor deliveries, prepare procurement requests and ensure all supporting documents are filed.
Oversee the scheduling and maintenance log of the project’s vehicle fleet.
Prepare travel authorisations and booking forms for staff and experts.
Ensure procurement activities are aligned with EU visibility and compliance requirements.
Maintain a calendar of staff and expert missions to help plan coordination needs in advance.
Track leave and ensure requests are submitted and approved through proper channels.
REPORTING AND DOCUMENTATION
Submit timesheets and monthly activity progress reports to relevant stakeholders.
Upload finalised reports, photos, and attendance lists from field activities to the project document system.
Support data collection for donor reporting (e.g., input/output indicators, event summaries).
Ensure filing and archiving of documents, training materials, and correspondence.
